Privacy Policy

1. Who is responsible

Muhammad Saad Iqbal, an individual sole trader, ABN 86 729 594 627, operates CoilFLUX and the associated EnergymindAI website (“we”, “us”, “our”). This policy explains the handling of personal information through the CoilFLUX website, enquiries and related communications. EnergymindAI and CoilFLUX are brand identifiers, not separate legal entities.

We follow the privacy commitments set out here and comply with the Privacy Act 1988 (Cth) and Australian Privacy Principles to the extent they apply to our activities. This policy does not limit any statutory rights. It describes the current website, enquiry service and voluntary PayPal support payments; before introducing paid accounts, new data collection or integrations, we will provide the relevant collection information and update this policy.

2. Information collected and how

When you submit the CoilFLUX enquiry form, we collect your name, country, email address, optional organisation, enquiry category, message and subsequent correspondence. We receive information directly from you, or from an authorised representative who contacts us on your behalf. The form routes enquiries to the operator’s Gmail inboxes and is processed through the website’s WordPress/Jetpack form service.

Website infrastructure and statistics services also process technical information such as IP address, browser and device information, access times, referring pages and pages visited. These records support delivery, security, troubleshooting and usage statistics. Cookies and similar technologies are described below. We do not need identity documents, tax file numbers, passwords, payment-card details, health information or confidential operational well data to answer an ordinary enquiry. Please do not include them.

You may browse without providing your name. Where practicable, you may contact us anonymously or under a pseudonym. Without a working reply address or sufficient enquiry details, we may be unable to respond or fulfil your request. The enquiry form does not collect payment-card details. Voluntary support payments are handled separately by PayPal as explained below; they do not activate a subscription.

Voluntary support payments: Support buttons link to PayPal.Me, where you choose or confirm the amount and complete payment directly with PayPal. PayPal processes payment, account and funding-method information under its own privacy information and terms. We do not collect full payment-card numbers or PayPal passwords through these links or the enquiry form. We may receive payer details and transaction information from PayPal, such as name, email address, amount, currency, payment status and transaction reference, depending on the transaction and PayPal settings. We use this information to administer support payments, respond to payment questions or refund requests, prevent fraud and meet accounting and legal recordkeeping obligations. PayPal operates internationally and its privacy information describes its processing and international transfers.

3. Purposes of use

We use personal information to answer enquiries; discuss requested projects, feedback, support and sponsorship; administer agreed relationships; operate and improve the website; diagnose faults; detect spam or misuse; maintain appropriate business records; resolve complaints; and meet legal obligations. We use or disclose information for other purposes only where authorised by you or permitted by law.

An enquiry is not consent to an unrelated marketing mailing list. Any marketing we send must have an appropriate permission or lawful basis and a workable opt-out. You can ask us to stop direct marketing by emailing the privacy contact. Necessary replies, legal notices and communications about an existing service are distinct from marketing.

4. Service providers and disclosure

The website uses WordPress.com/Automattic infrastructure and Jetpack features for website operation, forms and statistics. Enquiry correspondence uses Google’s Gmail service. These providers process information needed to supply their services. Their own notices explain their processing: Automattic’s visitor privacy notice and Google Privacy Policy. These notices supplement, rather than replace, our responsibilities.

We may also disclose relevant information to professional advisers under confidentiality obligations, to authorities where required or authorised by law, or where reasonably necessary and lawful to address fraud, threats or legal claims. We do not sell enquiry information. Sponsorship discussions do not authorise publication of a person’s details or organisation’s logo; public recognition requires agreement. A proposed business sale or incorporation is not permission for unrestricted sharing of customer information: any transfer must have a lawful basis and appropriate protections.

5. Overseas processing

Our service providers operate internationally. Website and email information may be processed outside Australia, including in the United States and other countries in which Automattic, Google and their service providers operate. Their globally distributed systems do not provide a fixed country allocation for every enquiry, so an exhaustive country list is not practicable here. Contact us if you need further information about the providers relevant to your enquiry.

Where Australian Privacy Principle 8 applies, we will take reasonable steps required by that principle before overseas disclosure unless a lawful exception applies. Merely using this website does not waive your Australian privacy rights or constitute consent to an exception that removes our accountability. We do not promise Australian-only data storage.

6. Cookies, statistics and external links

WordPress/Jetpack features can use cookies, pixels and similar technologies to support site functions and understand visits. The information collected depends on your interaction and whether you are signed into a provider’s services. Website statistics can include referring pages, approximate country and page visits. See Automattic’s Cookie Policy for provider controls and information.

You can manage or delete cookies through your browser and use any consent controls presented by the site or provider. Blocking necessary cookies can affect functionality. A provider’s account settings may offer additional choices. Links to other websites take you to services governed by their own privacy practices; do not assume this policy covers them. We will provide additional information before introducing materially different tracking purposes.

7. Security and retention

We take reasonable technical and organisational steps appropriate to the information and risk to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure. Access must be limited to those who need it for the purposes described here. No internet or email service can be guaranteed completely secure; please avoid sending sensitive information through a general enquiry.

We retain information only while reasonably needed for the purpose collected, ongoing correspondence, an agreed relationship, legal recordkeeping or the establishment, exercise or defence of legal claims. We review information for deletion or de-identification when it is no longer needed, subject to lawful retention requirements. Copies in provider backups follow applicable backup-retention processes and must not be reused for unrelated purposes. Requesting deletion does not override a legal obligation to preserve a record.

If a data incident occurs, we will assess and respond to it and notify affected people and the OAIC where required by the Notifiable Data Breaches scheme or other applicable law.

8. Access, correction and complaints

Contact spacepov28@gmail.com to request access to or correction of personal information, request deletion, raise a privacy concern or ask about this policy. Include enough detail to identify the relevant interaction. We may need reasonable identity verification to avoid disclosing information to the wrong person; do not send identity documents unless we have agreed an appropriate process.

We aim to acknowledge requests within five business days and provide a substantive response within 30 days. If more time is needed, we will explain why. We do not charge to make a request or correct information. Where an access charge is legally permitted, any reasonable cost will be explained before proceeding. If access or correction is refused, we will explain the applicable reason and complaint options, unless prohibited by law.

Please first give us an opportunity to resolve a complaint. If you remain dissatisfied, you may contact the Office of the Australian Information Commissioner at oaic.gov.au/privacy/privacy-complaints or 1300 363 992. The OAIC determines whether a complaint falls within its jurisdiction. You retain any other available legal rights.

9. Children, simulation and AI

The enquiry service is intended for adults and organisational representatives. Children should not submit personal information without a responsible adult’s involvement. Contact us if information has been submitted inappropriately so we can address it.

AI-assisted development of models, code or promotional artwork is distinct from processing visitors’ personal information. The enquiry form is not an AI-assistant interface, and its submission does not authorise us to use your message to train an AI model. We will disclose any new AI processing of personal information before introducing it and obtain consent where required. Simulation outputs are not decisions about an individual’s employment, qualifications or eligibility.

10. Policy updates

We will publish updates with a new effective date and provide additional notice of material changes where appropriate. Updates do not retrospectively authorise an incompatible use of previously collected information. Where consent is required, a policy change alone is not that consent.
